Accounts Payable – How We Manage Your Supplier Invoices
Our accounts payable process is built around one principle: your suppliers deal with us directly, you review and approve, and no funds ever leave your account without your explicit sign-off.
Here is how it works in practice.
Suppliers send invoices directly to us
You instruct your suppliers once to send all invoices to payables@accountsadvantage.com.au. From that point, invoices come straight to us. We receive them, save them in our system, and enter them into Xero as bills with the invoice attached. You do not need to forward bills or manage the paperwork. Everything is in one place from the moment it arrives.
We prepare the payment run
Once a week for most clients, or at minimum once a month, we prepare a payment run. We compile all the invoices that are due or coming due, attach the relevant invoice documents, and send the full payment run to the client by email for review.
You go through the invoices. If there is anything you do not want to pay that week, a disputed invoice, a supplier you are holding off on, anything at all, you reply and tell us. Unless we hear otherwise, your approval covers the full payment run. The default is pay everything due. The exception is when you tell us not to.
We generate the ABA file
Once the payment run is approved, we generate an ABA file. This is a batch payment file that can be uploaded directly into your bank to process all the payments in one go.
In almost all cases we upload the ABA file into the bank ourselves. We hold read-only access to your bank as a standard requirement for all our clients. Every month we download your bank statement and reconcile it against your Xero balance to make sure they match to the cent. For accounts payable clients, this access also allows us to upload the ABA file.
What we never do is release the funds. That step is always yours. You log into your bank, review the batch payment that has been loaded, and you release it. The money does not move until you decide it moves. That is a non-negotiable part of how we work and it protects you.
Everything is attached and visible in Xero
Every bill entered in Xero has the original invoice attached. Your accountant, your co-directors, or anyone else with Xero access can see the source document behind every payable at any time. There is no black box. The audit trail is complete.
Accounts Receivable – Visibility Over What You Are Owed
Accounts receivable works differently to accounts payable. In most businesses, the people who know when a job is done or a milestone is reached are out in the field, not in the office. That means invoicing often happens at the point of delivery, not after the fact.
Most of our clients generate their own invoices. They do this directly in Xero on their phone or through another tool that integrates with Xero. The project team or the business owner creates the invoice on the spot and sends it to the customer right then and there. That is the right way to do it. Fast invoicing from the field means faster payment.
Our role on the receivables side is visibility and reporting, not invoice creation.
We monitor what is outstanding
Once invoices are raised, we track what is outstanding in Xero. We can see what has been paid, what is overdue, and how long each invoice has been sitting unpaid. We keep this current as part of our regular bookkeeping.
We provide aged receivables reports
When clients want to chase outstanding debts, we provide an aged receivables report directly from Xero. This breaks down what is owed into 30, 60, and 90-day buckets. It tells you at a glance who owes you, how much, and how long it has been outstanding. Armed with that report, the client or their team can prioritise who to chase and in what order.
We do not do debt collection ourselves. That is not our role. But if a debt has been outstanding long enough that a client needs more than a phone call to recover it, we can refer them to a specialist debt collection partner.
Reconciliation stays in Xero
If clients use a separate invoicing or job management tool that integrates with Xero, we work from what is in Xero. We do not reconcile between external tools and Xero. Our source of truth for accounts receivable is always Xero. If there are discrepancies between an external system and Xero, we flag them so the client can investigate.
Why This Process Works
The accounts payable process we run protects clients in two important ways.
First, it means nothing gets missed. Suppliers send invoices directly to us, we enter them promptly, and they sit in Xero ready for the next payment run. There are no invoices sitting in someone’s inbox being forgotten, no payments falling past due because nobody processed the bill.
Second, it means the client always has final control over their money. We do the work. We prepare the run. We upload the file. But the client releases the funds. Always. That separation is deliberate and important.
On the receivables side, the process means the client always has a clear picture of who owes them money and how long it has been outstanding. That visibility makes debt chasing targeted rather than random.

How do suppliers send invoices to you?

How often do you do payment runs?
Weekly for most clients. For others it is monthly. We work to whatever frequency suits your business and your payment terms.
Do I have to approve every payment?
Yes, effectively. We send you the full payment run with all invoices attached. If there is anything you do not want to pay, you reply and tell us. Otherwise your approval covers everything in the run. You always have the final say on what gets paid.
Do you have access to my bank account?

What is an ABA file?

Yes. Accounts Advantage is a registered BAS Agent as a firm. On top of that, many of our individual team members hold their own BAS Agent registration too. That means the person handling your books is qualified and accountable in their own right, not just covered under someone else’s licence. You get two layers of professional protection.
What does it cost?
It depends on your business. For childcare centres we offer a fixed monthly fee from day one. For all other businesses, we work on an hourly rate for the first three months. This gives us time to review your file, understand the scope of work, and catch up anything that is behind. By month three we know exactly how long your books take each month, and we move you to a fixed monthly price from there.
