What Catch-Up Bookkeeping Actually Involves

When we take on a catch-up job, here is what we actually do.

We start by reviewing your file to understand the scope of the problem. How far back do we need to go? What software are you on? Are there missing records? Have BAS lodgements been missed? Once we understand what we are dealing with, we give you a clear picture of what the catch-up involves before we start.

Then we work through your transactions month by month. We reconcile your bank accounts against your records. We code transactions correctly. We sort out your GST. We identify any BAS periods that need to be lodged or corrected. We track down missing invoices and receipts where we can. We fix categorisation errors left by a previous bookkeeper or from doing it yourself.

By the time we are done, your books reflect what actually happened in your business. Your accounts are reconciled. Your GST is correct. Your financial reports are meaningful again.

Why Businesses Fall Behind

It is almost never laziness. Here are the most common reasons we see.

The business grew faster than the systems. What worked when you had ten transactions a week does not work when you have a hundred. The bookkeeping that used to take a couple of hours starts taking a full day and eventually stops happening.

What Happens to the BAS While You Are Behind

This is the part that worries most people.

If you have outstanding BAS lodgements, the ATO is charging general interest charge on any amounts owed and may have also issued failure to lodge penalties. The longer it sits, the more it compounds.

The good news is that the ATO is generally cooperative when you engage proactively. Coming to them with a catch-up plan and accurate lodgements is a very different conversation to doing nothing and waiting for them to chase you.

We prepare your outstanding BAS returns as part of the catch-up process. Once they are ready, we help you understand what you owe and how to approach the ATO if penalties are involved. We have been through this process with many clients and the outcome is almost always better than people fear.

What If a Previous Bookkeeper Left a Mess

This is more common than it should be.

A bookkeeper leaves and the new one discovers the previous work was not done correctly. Accounts not reconciled. GST coded incorrectly. Payroll processed under the wrong award. Transactions categorised in ways that make no sense.

We go through the file, identify what is wrong, and fix it properly. We do not paper over problems. We fix them at the root so your reports are accurate going forward.

We also document what we find so you have a clear record of what the state of the books was when we took over. That matters if there are ever questions about a prior period.

We are a Xero Gold Partner. If you are on another platform or still using spreadsheets, we migrate you to Xero as part of getting started. Most migrations are done within a week.

Common Questions

How long does catch-up bookkeeping take?

It depends on how far behind you are and how complex your business is. A business that is three months behind with clean bank statements and simple transactions might take a week. A business that is two years behind with missing records, payroll issues, and multiple BAS periods to correct will take longer. We assess the scope before we start and give you a realistic timeframe.

Will I get in trouble with the ATO?

You are far better off getting current proactively than waiting for the ATO to come to you. We prepare your outstanding BAS returns and help you manage the ATO conversation. The ATO has payment plan options and penalty remission processes for taxpayers who engage honestly. We have helped many clients through this and the outcome is almost always manageable.

What if I do not have all my receipts?

We work with what you have. Bank statements are the backbone of a catch-up and we can reconstruct a lot from those. Missing receipts are a problem for deductions but not necessarily for the reconciliation itself. We will tell you clearly what is missing and what impact that has.

Do you fix errors made by a previous bookkeeper?

Yes. We go through the file, identify what is wrong, and correct it properly. We document what we find so there is a clear record of the state of the books when we took over.

Do you handle payroll catch-ups as well?

Yes. If payroll has been processed incorrectly or not at all, we fix that as part of the catch-up. That includes correcting STP records with the ATO, fixing super calculations, and making sure employee records are accurate.

Are you a registered BAS Agent?

Yes. Accounts Advantage is a registered BAS Agent as a firm. On top of that, many of our individual team members hold their own BAS Agent registration too. That means the person handling your books is qualified and accountable in their own right, not just covered under someone else’s licence. You get two layers of professional protection.

What does it cost?

It depends on your business. For childcare centres we offer a fixed monthly fee from day one. For all other businesses, we work on an hourly rate for the first three months. This gives us time to review your file, understand the scope of work, and catch up anything that is behind. By month three we know exactly how long your books take each month, and we move you to a fixed monthly price from there.
