Bookkeeping for Sole Traders Queensland

Being a sole trader means everything is on you. The work. The quoting. The client relationships. The chasing of invoices. And at the end of a long week, the bookkeeping.

Most sole traders we work with are not struggling because they are bad at their job. They are struggling because there are only so many hours in a day and the admin keeps getting pushed to the bottom of the list. The bank does not get reconciled. The receipts pile up in the glovebox. The BAS arrives and it is suddenly urgent.

That cycle is exhausting. And it is one of the most common reasons sole traders plateau. They are so busy doing the work that they never get time to work on the business.

We fix that.

Accounts Advantage works with sole traders across Queensland. Tradies, consultants, freelancers, health practitioners, creatives, and more. We handle your bookkeeping so you can stay focused on what you are actually good at.

What Is Different About Sole Trader Bookkeeping

A sole trader does not have the same structure as a company. There is no separate legal entity. Your business income is your personal income. Your business expenses reduce your taxable income directly. And the line between business and personal spending can get blurry fast.

That simplicity is also a risk. Without clean records, the ATO has no way to verify your business expenses. If you are ever audited, the burden of proof is on you. Every deduction you claim needs to be supported by a receipt or a record. If you cannot produce it, the deduction gets disallowed and you pay more tax.

We keep your records clean, your expenses properly categorised, and your receipts captured from day one. If the ATO ever comes knocking, your books are ready.

BAS Lodgement for Sole Traders

If you are registered for GST, you need to lodge a BAS every quarter. Miss it and the ATO charges interest and failure to lodge penalties. Get it wrong and you are either overpaying or building a liability.

We prepare your BAS, check your GST figures, make sure all your input tax credits are claimed correctly, and lodge it on time every quarter. A lot of sole traders are surprised how many credits they have been missing. Every business purchase with GST on it is a potential credit. Tools. Equipment. Software. Professional development. Vehicle expenses. All of it should be working to reduce your GST bill.

If you are not yet registered for GST but your turnover is approaching $75,000, we can advise you on when to register and get you set up correctly.

Do Sole Traders Need to Register for GST?

Once your turnover reaches $75,000 in any twelve-month period you are required to register for GST. Below that threshold it is optional, though some sole traders choose to register voluntarily.

If you are unsure whether you need to register, talk to us. Getting this wrong in either direction has consequences. Charging GST without being registered means you are collecting money you have no right to collect. Not registering when you should means the ATO can come back and assess you for GST you should have been paying.

We help sole traders get this right from the start.

Xero for Sole Traders

A lot of sole traders think Xero is just for bigger businesses. It is not.

For a sole trader, Xero is one of the most practical tools available. Your bank feeds in automatically. You can send professional invoices from your phone the moment a job is done. You can see what is outstanding and what is overdue. You can photograph receipts through HubDoc and they land straight in Xero. And at BAS time, your numbers are already there.

We are a Xero Gold Partner. We set up Xero specifically for how a sole trader operates. The right chart of accounts. The right GST codes. A simple structure that does not require an accounting degree to navigate.

If you are currently using a spreadsheet or doing it manually, the switch to Xero is fast and the difference is immediate.

Receipt Capture – the Glovebox Problem

Every sole trader has a version of the glovebox problem. Receipts from Bunnings. Coffee with a client. Fuel receipts. Hardware store runs. They end up in a bag, a drawer, a glovebox, or a pile on the kitchen bench.

At tax time or BAS time, those receipts either get found or they get lost. Lost receipts mean lost deductions. Lost deductions mean more tax.

We use HubDoc with all our sole trader clients. You photograph the receipt on your phone the moment you make a purchase and it uploads straight into the system. It is categorised, stored, and ready. No paper. No pile. No scramble.

Income and Invoicing

One of the most common cash flow problems sole traders face is slow invoice payments. You do the work. You invoice. Then you wait. And while you are waiting, you still have to pay your own bills.

Xero helps you manage this. You can see every outstanding invoice at a glance. You can set up automatic payment reminders so clients get nudged without you having to chase them personally. You can see how long your average invoice takes to get paid and identify which clients are consistently slow.

Clean invoicing records also protect you if a client ever disputes a payment. You have a clear record of every invoice, every payment, and every communication.

Tax Records for Sole Traders

As a sole trader your business income and expenses go into your personal tax return. Your accountant needs accurate records to prepare it correctly.

We keep your books in order through the year so that at tax time, your accountant gets a clean set of records, not a bag of receipts and a prayer. That means a faster, cheaper tax return and the confidence that every legitimate deduction has been claimed.

We work alongside your accountant, not instead of them. We handle the bookkeeping. They handle the tax. Between us, your compliance is covered.

Catch-Up Bookkeeping for Sole Traders

A lot of sole traders come to us months behind. Sometimes a year or more.

They have been meaning to sort it out but the work keeps taking priority. Now the BAS is overdue, the records are a mess, and the whole thing feels overwhelming.

We have sorted out files in every state of disarray. We go back through your transactions, reconcile your accounts, sort out your GST, and get your records current. Once it is clean, we keep it that way from month to month. You should never be in this position again.

Sole Traders Across All Industries

We work with sole traders across a wide range of industries in Queensland.

Tradies and construction workers. Consultants and professional service providers. Freelancers and creatives. Health and allied health practitioners. Real estate agents. Personal trainers. IT contractors. If you are working for yourself in Queensland, we have almost certainly worked with someone in your industry before.

At Accounts Advantage, our Managing Director is CPA qualified and all our team members hold a Certificate IV in Bookkeeping. Many of our team members are registered BAS Agents in their own right, in addition to the firm itself being a registered BAS Agent. That means you get qualified, accountable professionals handling your books. Not just someone who learned on the job.

Common Questions

Do sole traders need a bookkeeper?

Not every sole trader does. But if your turnover is meaningful, you are registered for GST, you have business expenses you want to claim, or you are simply spending too much time on admin, a bookkeeper is worth it. The cost is a business expense and the time you get back is worth more than the fee in most cases.

Do I need to register for GST as a sole trader?

Once your turnover reaches $75,000 in any twelve-month period, yes. Below that it is optional. If you are unsure where you sit, talk to us. We can help you work out when to register and get you set up correctly when the time comes.

What can I claim as a sole trader?

Generally you can claim any expense that is directly related to earning your income. Tools and equipment. Vehicle expenses. Home office costs. Professional development. Software and subscriptions. Phone and internet. The exact rules depend on your industry and how you use each item. We make sure every legitimate deduction is captured and categorised correctly.

What happens if I mix personal and business spending?

It happens with sole traders more than any other structure. We go through your transactions and work out what is business and what is personal. Going forward, we help you keep them separate so the records are clean and the deductions are defensible.

Do I need to pay super as a sole trader?

You are not required to pay yourself super as a sole trader, though many choose to make personal contributions for their own retirement. If you engage contractors or workers who meet the ATO definition of employees for super purposes, you may have super guarantee obligations for them. We help you work out what applies to your situation.

Are you a registered BAS Agent?

Yes. Accounts Advantage is a registered BAS Agent as a firm. On top of that, many of our individual team members hold their own BAS Agent registration too. That means the person handling your books is qualified and accountable in their own right, not just covered under someone else’s licence. You get two layers of professional protection.

What does it cost?

It depends on your business. For childcare centres we offer a fixed monthly fee from day one. For all other businesses, we work on an hourly rate for the first three months. This gives us time to review your file, understand the scope of work, and catch up anything that is behind. By month three we know exactly how long your books take each month, and we move you to a fixed monthly price from there.

Do you work with sole traders outside Loganholme?

Yes. We are based in Loganholme and work with sole traders across the Gold Coast, Logan, Brisbane south side, and all of Queensland. We work remotely with clients across the state.

Can you work alongside my accountant?

Yes. We handle the bookkeeping through the year. Your accountant handles the tax return. We give them clean, accurate records so the process is fast and everything legitimate is claimed. Many of our sole trader clients already have an accountant they are happy with. We fit in alongside them.
